-Assist Contract Manager (CM) / Chief Accountant (CA) in the implementation of accounting processes and systems in relation to Location Management & Accounting
-Work closely with CM/CA to plan, organize, and prioritize work assignments to meet requirements and ensure that operational & accounting controls and procedures are in place. Suggest improvements and instruct actions
-Ensure that a signed copy of service contract is available on site and ensure compliance with the service provisions and scope of work
-Comply and record statistical information
-Identify problem areas or situations, evaluate problem causes, and take appropriate action with the approval of superiors to resolve the identified problems
-Keep your Superiors informed about major operational & accounting issues and developments
-Hold periodical meetings with Location Managers to review operational & accounting requirements, achievements and improvements
-Effectively represent Finance Department in working with internal/ external clients
-Co-ordinate with operations and HRD for the timely receipt of time sheets, staff movement prior to dispatch of salaries to locations. Assist in processing settlement requests for the staff leaving on vacation or exit only
-Prepare payroll by feeding all the collected data into the system. Ensure the accuracy of data during inputs (regular days, overtime and days off)
-Prepare IFAS after checking the invoices for the accuracy of prices and quantity against the order. Co-ordinate with Central Ware House for any discrepancies in delivery orders
-Prepare & control draft invoices for accuracy (all the supporting documents) in quantity against the contractual terms and prices before preparing the final invoice. Arrange the dispatch of invoices to the clients and ensure acknowledgement
-Inform the CM/CA for appropriate review and action, if any discrepancies observed by the clients in our invoices.
-Assist CM in seeking proper approval for any non-contractual request from client involving extra cost
-Prepare the debtors statement with ageing and follow up for collection
-Keep and maintain an approved record of client and company supplied equipments
Update equipment list through periodic inventory. Request in writing repair or replacement of equipments as and when required and keep a record of the same
- Review periodically daily and monthly requisitions with Chief Cook and Storekeeper to control food order, excess or shortages of stocks
-Closely monitor stock level and stock rotation and ensure compliance with the given targets and objectives. Conduct regular inventories to check discrepancies between physical and actual stock. Ensure that stock is properly maintained and procedures are followed properly. Inspect storage areas to check any spoilage or damage to inventories
-Control food, non food and payroll cost and operate within budgeted targets.
-Ensure smooth running of LMS (Location Management System) through proper maintenance of computer and data input/ output control. Ensure safety and proper usage of computer equipments
-Ensure supporting documents and authorization for all payments
-Prepare location daily cash balance statement
-Collect and analyze financial data such as source documents used for accounting records of initial entry, control documents, and financial reports
-Control and maintain a proper FL"Xed Assets and Equipments register of the locations
Ensure timely and proper data and programs backup of the system used in locations
-Arrange forwarding End-Of-Month all systems backups to IT administrator in HO
-Prepare reports and statements pertinent to accounting and related data
-Review, develop, analyze and modify specific accounting procedure to ensure efficiency and accuracy
-Review and reconcile accounting records with those in the department, locations and with FAD, then submit data necessary for adjustment
-Perform a wide variety of accounting and administrative tasks
